This Privacy Policy outlines how the Retaining Technologies Group handles personal information in connection with our business and the services we provide, and your rights in relation to your personal information.
You means any of the following, depending on the context:
- Job applicant of RTG;
- Employees of RTG;
- Customers (individuals & employee representatives of businesses) that engage our services or a potential customer who seeks to use our services and makes enquiries with us;
- Website visitors but excluding customers or potential customers;
- Sub-Contractors / Supplier Representatives (e.g. employee of a supplier) who provides or wishes to provide services to RTG.

Personal Information We Obtain & How We Obtain It
The Retaining Technologies Group collects personal information from clients, customers, employees, contractors and other individuals. We collect this information when it is necessary for business purposes. We collect personal information in a number of ways and how we collect personal information from you will depend on how you engage with us and use our services.
RTG collects personal information from Customers when they enquire about or engage RTG to provide products and / or services. This may include information such as:
- your name, postal and / or street address, email address, and telephone number;
- credit card information; account details, banking or payment information;
- your company name, ABN and other applicable tax information;
- background and solvency information through background checks / credit checks;
- transaction history and services preferences; and
- information through customer surveys, promotions and any enquiries.
For Job Applicants and Employees, we may collect information such as:
- your name, residential address, postal address, telephone number and email address;
- account details, banking or payment information;
- your gender and date of birth;
- identity information such as driver’s licence or passport;
- details about your qualifications, skills, employment history and salary;
- links to your professional profile (e.g. corporate website or LinkedIn);
- if applicable, your company name, ABN and applicable tax information;
- your nationality, citizenship status and/or right to work;
- background and criminal history information through background checks;
- whether you have a disability, illness or other health issue we need to accommodate in your role;
- emergency contact details, next of kin, dependents and beneficiaries; and
- employment records such as leave entitlements / records, salary and payments, health information and medical records, performance information (including any information regarding performance reviews or disciplinary matters).
If you are a Sub-Contractor or Supplier Representative acting on behalf of a supplier who wishes to provide services to RTG, we may collect information such as:
- your name, work email address and telephone number;
- identity information such as driver’s licence or passport;
- your company name, ABN and applicable tax information; and
- background and solvency information of the supplier through background checks / credit checks.
Cookies & Information Collected Automatically
We may collect certain data from you automatically when you use, enquire, and / or engage our services, including when you visit our website. When you visit our website as a Website Visitor, the information we may collect includes:

- the pages viewed;
- how you navigated through the site and interacted with pages (including fields completed in forms, applications completed, search items entered);

In circumstances where you have referred us to a third party to obtain personal and other information about you, we will assume, and you must ensure, that the third party is aware that you have referred us to them and of the purposes involved in the collection and processing of your personal information.
If you supply us with information about another person, you should ensure you are authorised to do so. You must inform that person who we are, that we will use and disclose their personal information as outlined in this Privacy Policy from time to time and that they have certain rights to access the personal information that we hold about them.
How we Use Personal Information
The Retaining Technology Group’s main purposes in collecting personal information are:
- to provide professional services which also includes product sale transactions;
- to maintain contact with our clients;
- to keep clients and other contacts informed of our products and services, updates and news relating to industry developments that may be of interest, and to notify them of our service offerings;
- for general business management and reporting purposes, such as invoicing and account management;
- supplier engagement & sub-contractor engagement purposes;
- for recruitment purposes; and
- all other purposes related to our business operations.
From time to time, we may use personal information about individuals to market our services, including via email. However, individuals always have the opportunity to elect not to receive further marketing information from us by emailing: admin@retainingtechgroup.com . Alternatively, where we have emailed you using an e-marketing platform, you may use the ‘unsubscribe’ function in that email to notify us that you do not wish to receive further marketing information from us via email. If we collect or use personal information in ways other than as stated in this policy, we will ensure we do so in accordance with the requirements of the Privacy Act 1988 (Cth).
Disclosure of Personal Information
The Retaining Technologies Group will not disclose personal information to third parties for the purpose of allowing them to send marketing material to you.
Furthermore, we do not routinely disclose personal information to other organisations unless:
- we are required to do so by law;
- the use or disclosure is permitted in accordance with this policy;
- we believe it necessary to provide you with a product or service which you have requested;
- to protect the rights, property or personal safety of any member of the public or a client of RTG, or the interests to RTG;
- it is considered part of a sale of some or all of the assets or operations of RTG’s business; or

RTG at times uses sub-contractors and / or other service providers to help us maximise the quality and efficiency of our services and our business operations. This means that individuals and organisations outside of RTG will occasionally have access to personal information held by us and may collect or use it from or on behalf of RTG. This may include, but is not limited to, independent contractors and consultants, courier companies, website hosts, electronic database managers, credit managers, debt collecting agencies, software companies and providers such as MYOB / Microsoft / Drop Box / Google Apps for Business. We are not in a position to influence the privacy policies of these organisations and we recommend you refer to the individual websites of these companies for copies of their own privacy policies.
Disclosure of Information Outside of Australia
RTG may store and disclose personal information in and to locations outside of Australia for the purposes described in this Privacy Policy. We may also engage service providers outside of Australia. When we disclose or transfer your personal information overseas, we take reasonable steps to ensure that your information is secure and that the recipient will not breach the Privacy Act.
The countries in which these third parties are located depend on the circumstances.
Security of Personal Information
Depending on the purpose for which we have collected your personal information (for example: customer enquiry) we may store some of the information electronically in our customer database. Some or all of this personal information may be available to employees of RTG for use in accordance with this policy.
RTG will endeavour to take all reasonable steps to keep secure any information which we hold about you, whether electronically (using restricted access, passwords, firewalls, malware etc) or in hard-copy (using secure and locked facilities), and to keep this information accurate and up to date.
